Managing prescription requests in general practice can involve much more than processing a standard repeat. Prescription clerks and administrators may encounter medication alignment, future-dated issues, changes to dispensing arrangements, previously stopped repeat items and more complex requests that require careful handling within SystmOne.

This CPD-accredited intermediate SystmOne prescription clerk training course builds on foundation-level knowledge to develop confidence with less routine prescription administration. Practical, screenshot-based guidance explores repeat medication workflows, the Electronic Prescription Service, pharmacy and supplier nominations, medication alignment and more complex acute prescription requests.

New to prescription administration in SystmOne? This course assumes existing foundation knowledge. Start with our introductory course first: Prescription Training for Beginners (SystmOne)

Why this course matters

  • Prescription administration becomes more complex when medication schedules, dispensing arrangements or repeat templates need changing
  • Patient safety depends on accurate identification, appropriate consent checks and careful handling of prescription requests
  • Efficient repeat prescription processes can reduce unnecessary requests and make medication management easier for patients and practices
  • The Electronic Prescription Service is now used for more than 95% of prescriptions in England, making confident use of electronic workflows increasingly important
  • Pharmacy and dispensing appliance nominations need to reflect patient choice and be managed accurately
  • Clear boundaries between administrative processing and clinical prescribing decisions are essential for safe practice

What you will learn

  • How to carry out additional patient identification, consent and safety checks when processing prescription requests
  • How repeat prescription settings and SystmOne medication options can affect electronic prescription workflows
  • How future-dated or shorter-interval prescriptions may be processed when instructed by an authorised clinician
  • How medication alignment can simplify repeat prescription schedules for appropriate patients
  • How to review previous repeat items, pharmacy nominations and dispensing appliance supplier information
  • How more complex acute prescription requests may be processed within SystmOne where permitted by local procedures

Who this course is for

This intermediate prescription administration training course is designed for general practice staff who already understand the basics of prescription processing and use SystmOne as part of their role. It is particularly relevant to:

  • Prescription clerks responsible for processing repeat and acute prescription requests
  • Medicines coordinators and medicines administration staff in general practice
  • GP administrators with responsibility for prescription workflows
  • GP assistants who support clinicians with medicines-related administration
  • Pharmacy or prescribing support staff working within GP practices
  • Experienced reception or administrative staff moving into a dedicated prescription-processing role

This is not a prescribing qualification. Learners should only carry out administrative medication functions permitted within their role, system permissions and local practice protocols.

By the end of this course, you will be able to:

  • Apply appropriate patient identification, confidentiality and consent checks to prescription administration
  • Navigate intermediate repeat prescription functions within SystmOne
  • Describe how electronic prescription settings, future issues and repeat medication schedules may be managed
  • Support medication alignment and understand the importance of accurate documentation
  • Locate and appropriately reinstate previous repeat medication where authorised
  • Manage pharmacy and supplier information and recognise when a prescription request requires clinical input

Patient safety and prescription administration

Safe prescription processing begins with the correct patient record, appropriate consent and a clear understanding of what has been requested. The course refreshes these foundations before moving into more advanced SystmOne functions.

Managing repeat prescriptions in SystmOne

Learners develop greater familiarity with the repeat prescription screen and the options used when managing medication electronically. This includes understanding relevant SystmOne functions, electronic prescription settings and the administrative processes surrounding different types of repeat issues.

The course also introduces shorter-interval and future-dated prescription arrangements where these have been requested by an authorised clinician.

Medication alignment and previous repeat items

Patients can sometimes end up requesting different medicines at different points throughout the month. Medication alignment is explored as a way of bringing suitable repeat items onto a more consistent schedule, alongside the documentation needed to record changes clearly.

Learners are also shown how previous repeat items can be reviewed within SystmOne when a clinician has authorised a medicine to be restarted, helping avoid unnecessary duplication of existing medication records.

Pharmacies, suppliers and electronic prescriptions

The course looks at pharmacy nominations and dispensing appliance suppliers, including circumstances where a patient may need a prescription sent to a different dispenser on a one-off basis.

This sits within the wider Electronic Prescription Service (EPS) workflow, which allows prescriptions to be transmitted electronically to a patient’s nominated dispenser. Current NHS guidance confirms that patients may nominate a pharmacy, dispensing appliance contractor and, where applicable, a dispensing doctor.

More complex prescription requests

The final part introduces administrative handling of less routine acute prescription requests, including examples involving preconfigured medication groups within SystmOne

These examples reinforce an important principle throughout the course: medication decisions remain with appropriately qualified clinicians, while prescription clerks and administrators should work within their authorised role and local procedures.

Assessment and certification

At the end of the course, you will complete an assessment to demonstrate your understanding of the topics covered. You will need to achieve a result of 80% or higher to pass.

On successful completion, you will receive a free CPD-accredited certificate, which can be downloaded or printed as evidence of your professional development.

Professional responsibility and scope

This is an intermediate prescription administration course, not a prescribing qualification. It supports staff who process medication requests on behalf of appropriately qualified prescribers.

  • Competency should be assessed within your workplace
  • Practice should align with local protocols, current guidance, and professional standards
  • You are responsible for applying learning appropriately within your role
  • Medication initiation, clinical review and prescribing decisions remain the responsibility of an authorised prescriber
  • Administrative staff should only amend or process medication where their role and local protocol permit it
  • Clinician instructions should be clear before changes are made to medication records or prescription schedules
  • Controlled drugs and other higher-risk medicines may require additional local procedures
  • Current formulary, prescribing and medicines-management guidance should always take precedence
  • SystmOne configurations and staff permissions vary between organisations

Approximately 2 hours, depending on your prior knowledge and experience. The course is fully self-paced, allowing you to complete it in stages. You can revisit any sections that you’re unsure of.
